Job Description:

This candidate will be cross-trained to work as a CMA/RMA and as a front desk, patient service representative as needed. This position is based out of the PATHS School Based Healthcenter at G.W. High School. 

Summary

As a patient servie representative: Greets and assists patients, assuring that all front desk and registration areas work smoothly and efficiently. Works to create a positive and encouraging environment for patients and families as the “Face” of PATHS. Maintains an efficient appointment and patient flow system. As a CMA/RMA: Works as part of the patient care team to assist providers and other clinical administrative staff in the provision of primary health care.  Under the direction of the Director of School Based Healthcenter and the Clinical Manager, the MA will embrace the standard and clinical protocols as set forth by PATHS.  Will provide professional, multi-disciplinary support to the providers as well as patients.

Education and/or experience

Current CMA/RMA certificate with sufficient experience to carry out the duties of this position and must be qualified in basic life support techniques.  A minimum of 2 years in a primary health or family practice setting preferred along with experience with medical office systems, medical terminology, customer service and medical equipment.

Preferred Skills:

PSR Essential Functions

  1. Collects and updates all patient demographics, eligibility, and insurance information. Enters all appropriate data into the electronic medical records system.
  2. Maintains patient Sliding Fee Scale status with up to date POI and update the patient registration annually.
  3. Enters medical, pharmacy, transportation, and ancillary service visits and enters data into the appropriate electronic medical records system.
  4. Obtains record release signatures from patients to request outside medical office records. Follows up to ensure receipt of records for timely appointment scheduling.
  5. Explains PATHS’ services, as well as patient policies and procedures.
  6. Educates patients on the use of the patient portal.
  7. Checks in patient and prepares electronic chart for visit.
  8. Collects payments for services current and past, explaining patient charges as requested.
  9. Explains charges to patient and directs any questions to the billing office as necessary.
  10. Handles cash daily, processes credit card payments, checks, and other forms of payment.
  11. Works in conjunction with the Billing Coordinator to maintain knowledge about insurance policies and verifications continually.
  12. Answers questions regarding patient accounts, referral appointments, and upcoming office appointments.
  13. Maintains phone calls incoming to the office daily.
  14. Creates telephone encounters for medication refills, clinical staff messages, and chart inquiries.
  15. Maintains accurate and up-to-date appointment system.
  16. Checks encounter forms, medical records, and schedule to prevent double or missed appointments.
  17. Assists patients with scheduling appointments for Follow ups, Reschedules, Cancelled, and No Shows.
  18. Calls patients that eCW Messenger does not contact to remind of missed appointments, Proof of Income, Insurance coverage, and confirming appointments.
  19. Maintains fax in/out box and assigns appropriate documents to providers, clinical staff, referral coordinator, and navigators.
  20. Assists patients on their departure and scheduling follow up appointments.
  21. Prepares daily reconciliation of daily charges and payments, prepares daily deposit for Site Manager to send to finance.
  22. Functions within the HIPAA laws to protect patient information protected.
  23. Other duties as required.

 

CMA/RMA Essential Funcitons

 

  1. Takes patient vitals such as temperature, blood pressure, pulse and respirations.
  2. Collects information on the health status of the patient
  3. Participates in the development of the plan of care with other team members and safely implements that plan
  4. Communicates in an attentive and individualized manner in every encounter.
  5. Verifies the patients understanding of the purpose of visit.
  6. Provides instruction/teaching to the patient according to the educational plan.
  7. Documents care provided or procedures performed accurately on patient records.
  8. Provides each patient care in a safe, comfortable and private environment.
  9. Provides preventive care information that matches patient age, sex and health status.
  10. Assists as necessary in medical exams.
  11. Cleans rooms in between patients including wiping down beds.
  12. Draws labs as appropriate.
  13. Administers injections or gives medicine under the instruction of the provider.
